1. Event Overview

 

Diversity Mindset 2025 is a four-day immersive summit hosted by Abundant Sun at Quinta do Freixo, Benafim, Algarve, Portugal, from 29 October – 1 November 2025 (“the Event”). By registering, you agree to these Terms & Conditions.

 

2. Registration & Payment

 

  • Your place at the Event is secured only upon receipt of full payment.

  • Early Bee, Standard, and Group ticket prices are as stated at the time of booking.

  • All prices are listed in GBP (£).

  • Payment can be made via approved payment methods listed on our registration form.

 

3. Pricing, Currency & Taxes

 

  • Pricing & Currency: All ticket prices are stated in GBP (£). Equivalent EUR (€) amounts will be shown on invoices where required for VAT compliance.

  • Taxes: Ticket prices are inclusive/exclusive of VAT (as applicable) at the prevailing rate based on the place of supply rules in force at the time of the Event. If VAT or other taxes become chargeable in connection with your ticket purchase, the Organisers reserve the right to adjust the final price to reflect the correct tax treatment.

  • Invoicing: Invoices will show the breakdown of ticket price, applicable taxes, and any optional add-ons. Currency conversion for VAT reporting will follow the official European Central Bank exchange rate for the invoice date.

 

4. Cancellation & Refund Policy

 

  • Cancellations before 1 September 2025: Full refund minus €50 administrative fee.

  • Cancellations between 2 September and 1 October 2025: 50% refund.

  • Cancellations after 1 October 2025: Non-refundable, but transferable to another participant.

  • All cancellation requests must be made in writing to contact[@]abundantsun.com.

 

5. Accommodation

 

  • Early Bee Registration includes on-site accommodation at Quinta do Freixo (limited availability). Room type allocation is on a first-come, first-served basis.

  • Shared room bookings must be coordinated between attendees.

  • Standard Registration does not include accommodation — participants are responsible for arranging their own stay nearby.

 

 

6. Family & Children

 

  • Diversity Mindset 2025 is a family-friendly event.

  • Children are welcome to join for meals, celebrations, and nature-based activities.

  • Parents/guardians are fully responsible for the supervision, safety, and conduct of their children at all timeswhile at Quinta do Freixo.

  • Light programming for young attendees may be offered, but this does not replace parental supervision.

 

 

7. Health, Safety & Liability

 

  • You participate in the Event at your own risk.

  • The organisers are not responsible for any personal injury, loss, damage, or theft of property during the Event.

  • Certain activities (e.g., tractor rides, hikes, river swimming) involve inherent risks. Participation is voluntary and may require signing an additional waiver.

  • Please inform us in advance of any dietary restrictions, medical needs, or accessibility requirements.

 

 

8. Programme Changes

 

  • We reserve the right to make changes to the Event programme, speakers, activities, or venue if necessary due to unforeseen circumstances.

  • Any significant changes will be communicated to registered participants as soon as possible.

 

 

9. Code of Conduct

 

  • The Event fosters a respectful, inclusive, and collaborative environment.

  • Disruptive, discriminatory, or unsafe behaviour will not be tolerated and may result in removal from the Event without refund.

 

 

10. Photography, Filming & Media

 

  • The Event may be photographed, filmed, or recorded.

  • By attending, you consent to your image and/or voice being used in future promotional materials, unless you notify us in writing before the Event.

  • Parents/guardians may opt out of having images of their children used in promotional materials.

 

 

11. Intellectual Property

 

  • All Event content (presentations, materials, recordings) is the intellectual property of the organisers and/or speakers, unless otherwise stated.

  • Materials may not be reproduced, distributed, or used for commercial purposes without prior written consent.

 

 

12. Force Majeure

 

  • We are not liable for any delay or failure to perform due to events beyond our reasonable control, including natural disasters, strikes, pandemics, travel restrictions, or other emergencies.

 

 

13. Governing Law

 

  • These Terms & Conditions are governed by the laws of Portugal. Any disputes will be subject to the exclusive jurisdiction of the Portuguese courts.
